The Executive Assistant provides comprehensive executive administrative support to the Vice President, Mission Operations and the Mission Operations Department. The position will navigate a rapidly evolving operational tempo, coordinate high‑volume calendaring, and execute responsibilities with limited guidance. Success in this role requires flexibility, strong organizational judgment, and the capacity to thrive amid frequent change. The role requires a high level of professionalism, discretion, and initiative. Support the company strategy by holding ourselves and one another accountable for getting the work done.
Responsibilities
- Provide executive administrative support, ensuring accuracy, timeliness, and confidentiality for Vice President, Mission Operations and the Mission Operations Department.
- Manage and maintain the executive’s demanding schedule, meetings, priorities, and calendar.
- Coordinate, organize, and support meetings, events, and site visits, including agenda preparation, documentation development, note taking, and action tracking.
- Coordinate department meetings and team building events to boost morale and keep team informed.
- Arrange travel logistics, process expense reports, submit purchase requisitions, and oversee related administrative functions for the Vice President and department.
- Approve timecards, expense reports, and travel on behalf of the Vice President.
- Maintain strict confidentiality in all matters related to the organization and executive office.
- Create, collect, and distribute internal and external department communications, at times on behalf of the Vice President.
- Prepares and maintains department documents and reports.
- Serve as the department coordinator for strategy development, goal management, and special project oversight.
- Improve administrative workflows and processes.
- Mentor and coach more junior administrators.
- Perform additional duties as assigned.
- Assists in other duties as needed and directed.
- Maintain focus on timeliness and execution of tasks and deliverables every day.
- Work collaboratively to achieve goals and/or complete assigned tasks
- Adhere to set directions and guidelines from team leader to support collaboration across teams to complete projects.
Required Skills & Experience
- Preferred bachelor’s degree, or 3-4 years of relative experience in lieu of degree.
- Experience providing high-level support to executives.
- Proficiency in Microsoft Office Suite including Teams, Word, Excel, PowerPoint, Outlook, OneNote, SharePoint, and Visio.
- Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
- Strong verbal and written communication skills with the ability to present information professionally.
- Ability to manage and resolve conflicts effectively.
- Strong collaboration skills and commitment to supporting organizational goals and culture.
- Proven ability to build strong working relationships cross-functionally.
- Demonstrated problem-solving abilities and a continuous improvement mindset.

Physical and/or Additional Requirements
- Ability to work all shifts and weekends as needed although this is typically a Monday through Friday work week.
- Ability to lift and handle items up to 25 lbs (unassisted).

The annual U.S. base salary range for this full-time position is $69,550.00–$100,925.00. The base pay actually offered will vary depending on job-related knowledge, skills, location, and experience and take into account internal equity. Other forms of pay (e.g., bonus or long term incentive) may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered.
